Vendor Setup/Breakdown:
| Setup/Breakdown: | Set up begins 5:00 pm on Wednesday, April 26th, and ends at 6:30 pm. Vendors must be set up by 8:00 am Thursday, April 27th (Country Club will open at 7:00 am). Breakdown after 3:30 pm Friday, April 28th. |
There will be a table set up in the vendor area where you will receive a welcome package and booth assignment. Based on our selected venue we will be able to accommodate oversize booths. We will also be offering single and double-booth space.
Each Registration Includes the Following:
- One (1) 8′ x 10′ booth space (entire room is carpeted)
- One AC power drop included (you must select when registering)
- One 6ft draped table
- Two Chairs
- Wastebasket
- Light breakfast Thursday morning, two (2) lunch tickets for Thursday’s Annual Meeting Awards Luncheon, Friday breakfast and lunch
- Invitation to Welcome Reception/Exhibits on Thursday evening, 5:30 – 6:30 PM
- Complimentary Wireless Access

Shipping:
Please do not ship any items to the venue directly. They are unable to accommodate storage of items due to space constraints. Recommendation is to ship these to your hotel.
It is also important to note that the venue will not call for shipments to be picked up. You must make certain to call your particular carrier (UPS, FedEx, etc.) that will be picking up your shipment after the show to schedule this. They have an area that shipments may be left for pick up by your carrier.
Additional Information:
- You are invited to attend the President’s Reception on Thursday night. You will sign up for this event during the online registration process—please make certain to register all attendees that will be present.
- Breakfast and lunch will be provided on Thursday and Friday.. Please make certain that you register for this if you will require meals for your attendees. Vendors are limited to two attendees for lunch and breakfast. Additional lunch and breakfast tickets can be purchased if needed. You can sign up and purchase tickets for all attendees during the registration process.
- Most of our vendors bring a door prize to give away. If you have a gift or gifts to give away, please make sure you continue to draw until someone present wins—AAHIM attendees are required to be present to win. We will conduct the drawings at the end of the day on Friday afternoon.
- An electronic copy of the attendee list will be provided one week prior to the event. **Attendees can elect to opt-out of sharing their information.
- Please make sure you arrange to have your exhibit items shipped immediately following the exhibit breakdown on Friday. You will need to contact your carrier, and schedule pick up for your shipments.
Exhibit Registration: Early registration ends March 31, 2023. Payments must be received by this date to avoid the $50 late fee. After this date, exhibit space will be subject to availability.

With only one sponsorship available for Gold participation, this level of sponsorship provides your organization with a unique opportunity. You will receive 10 minutes of dedicated time during the meeting to present a brief PowerPoint on the offerings of your organization. Registration
Registration will close at 11:59 PM CT on April 15, 2023. No onsite registration will be available.
When you register online, you will have the option to pay by mail with a check or pay online with a credit card (AMEX, Discover, Mastercard, or Visa). You will receive two emails once you join – 1) a confirmation email and 2) a registration statement email which serves as your receipt (if you paid by credit card) or invoice (if you plan to pay by check).
If you are paying by check, make your check payable to KnowledgeConnex, include your invoice # that is on your registration statement email, and mail your check to KnowledgeConnex. The mailing address will be on the registration statement email.
